Deputy Clerk    
The Deputy Clerk is responsible for routine clerical and accounting duties, in addition to the on-going duties of the office of the County Clerk:  issues licenses, files, indexes, keeps books, extends county taxes, payroll, and works with the public. pdfdownloadpdfdownloadDownload
  • Answers phone and receives public requests;
  • Assists “walk-ins”, including directing visitors to appropriate county departments;
  • Sorts in-coming mail;
  • Issues certified copies of vital records and has first-hand knowledge of Vital Records Laws;
  • Computes the amount due for all tax redemptions, maintains records of all sold and redeemed taxes and all tax purchases, and issues tax deeds;
  • Issues Marriage Licenses;
  • Registers Assumed Names and Notaries
  • Maintains records of all public and non-public documents, provides copies for the public;
  • Performs general secretarial duties and other office related duties as assigned;
  • Operates telephone, personal computer, copy machine, typewriter, adding machine, scanner and other office equipment;
  • Responds to genealogy requests via in person, mail and/or e-mail 
  • Indexes Marriage Licenses;
  • Balances cash drawer and prepares cash reports;
  • Performs payroll duties and maintains employee payroll files;
  • Prepares and makes bank deposits for the County Clerk and Recorders Office;
  • Prepares County Clerk and Recorder checks for office revenue;
  • Prepares Election notices for publication;
  • Files Illinois Municipal Retirement Fund Report and prepares and files other appropriate forms;
  • Notifies, collects and reports the Economic Interest Forms;
  • Interprets and applies rules and regulations of the Illinois Department of Revenue and other state agencies to ensure conformity;
  • Performs duties in regards to Tax Extension; receives all budgets, levies and bonds from each taxing district, enters them into the tax software program. As well as all state assessed railroads, pollution control properties and overlapping values from other counties. Calculates the rates by line item and per the districts and extends the levies due to each of the districts;
  • Processes new annexations and sets up new tax codes as needed. Sends the new annexations to the State of Illinois;
  • Special assignments: periodically respond to special projects as assigned by the County Clerk. satisfactory working relationships with other staff, agencies and the general public.
